We are seeking an Executive Assistant to join HubSpot’s Company Pillar who is passionate about providing top-tier support to our leaders and employees, while thinking creatively about how we can continuously improve the employee experience and optimize their time so they can focus on growing better.
In this role, you’ll get to:
- Manage the daily calendars and travel needs of Company Pillar leaders, handling all incoming/outgoing meeting requests.
- Serve as a key point of contact for external stakeholders, including vendors, Board members, investors, and other strategic partners, ensuring professional and timely communication on behalf of Company Pillar executives.
- Support the leadership team in the preparation of All Team meetings and team offsites – this may include ownership of the agenda, arranging and managing logistics and pulling content together. You may also support planning and execution of all-Company meetings or events.
- Collaborate with a network of HubSpot Executive Assistants and Coordinators on cross-team backup support and broader company initiatives.
- Manage sensitive information with discretion and provide support for high-priority projects and strategic initiatives.
- Assist in event management and travel preparation for virtual and in person team events.
- Process expense reports, open purchase orders, coordinate payments, and manage relationships with external vendors, including contract coordination and invoice processing.
We are looking for people with:
- Proven track record of success providing administrative support or coordination in a high-performing, fast-paced environment, with experience supporting senior leadership and managing multiple stakeholders both internally and externally.
- High level of professionalism, acting as a representative of their executives and HubSpot in all internal and external interactions, including potentially with Board members, vendors, and strategic partners.
- Remarkable drive, bias for action, and enthusiasm for exceptional customer service, no matter how large or small the request.
- Ability to effectively prioritize and manage the needs of multiple stakeholders, across multiple channels of communication.
- Outstanding organizational skills.
- Exceptional written and oral communication skills; capable of interaction with employees at all levels of HubSpot, including executives, as well as Board members, vendors, partners, and other external contacts.
- Comfort with ever-changing technology, including use of AI tools, and proficiency in Microsoft Office Suite and Google Apps.
- The capacity to thrive with ambiguity while prioritizing tasks in response to unexpected changes in priorities/requests.
- Ability to take a proactive approach to tasks and be comfortable working with minimal instruction and guidance; impeccable attention to detail.
- Flexible and able to handle ad hoc issues that may arise outside of core business hours.
- Be available to travel on average once per quarter to support our in-person programming (e.g. executive offsites, in-person office events, other engagements).

Cash Compensation Range: 82400-123600 USD Annually
Pay & Benefits
The cash compensation below includes base salary, on-target commission for employees in eligible roles, and annual bonus targets under HubSpot’s bonus plan for eligible roles. In addition to cash compensation, some roles are eligible to participate in HubSpot’s equity plan to receive restricted stock units (RSUs). Some roles may also be eligible for overtime pay. Individual compensation packages are tailored to your skills, experience, qualifications, and other job-related reasons.
