The Role

The Operations Coordinator will play a hands-on role in supporting LearnLux’s global network of financial planners. You’ll help ensure operational excellence across hiring, onboarding, training, payments, and quality processes while keeping day-to-day systems running smoothly and accurately.

This role is ideal for someone who’s highly organized, process-oriented, and excited to build operational muscle in a mission-driven company. You’ll collaborate closely with the Manager, Planning Operations and cross-functional teams, gaining exposure to a wide range of business operations.

This role is 100% remote within the US and reports to the Manager, Planning Operations. 

Key Responsibilities

Planner Operations Support

  • Support vetting, hiring, and onboarding activities for new financial experts, ensuring documentation, setup, and system access are complete and accurate.
  • Maintain planner records, contract details, and compliance documentation across relevant systems.
  • Coordinate with internal teams to schedule onboarding sessions and track progress through the training lifecycle.

Tools, Systems, and Workflows

  • Update and maintain operational tools and trackers to ensure planner information, availability, and scheduling data are accurate and current.
  • Partner with the Manager, Planning Operations to identify and resolve workflow gaps or process inefficiencies.
  • Help manage day-to-day operations within systems such as Coda, Hubspot and other internal platforms.

Training and Quality Support

  • Support the coordination and execution of training activities to ensure a smooth experience for planners and internal partners.
  • Maintain up-to-date documentation for onboarding and ongoing education resources.
  • Support the QA process by organizing planner performance data, tracking reviews, and assisting in follow-up actions identified by the Planning Operations Manager.

Payments and Contracts

  • Support invoicing, payments, and contract administration, ensuring planner compensation and renewals are processed accurately and on schedule.
  • Communicate with Finance and Legal to resolve discrepancies or questions related to payments or contracts.

Ongoing Operations and Process Improvement

  • Help document and refine operational procedures to promote consistency and scalability.
  • Support change management initiatives, ensuring planners receive timely communication about updates to policies, tools, or processes.
  • Jump in on urgent or time-sensitive operational priorities to help meet external or partner commitments.

Qualifications & Experience

  • 1–3 years of experience in operations, coordination, or administrative support, ideally in a service-based, financial, or tech environment.
  • Exceptionally organized and detail-oriented; able to manage multiple priorities and deadlines.
  • Strong communication skills and comfort collaborating across teams and cultures.
  • Tech-savvy and confident navigating systems, spreadsheets, and project management tools.
  • Eager to learn, adaptable to change, and motivated by supporting others’ success.

The pay range for this role is listed below. Individual compensation will be commensurate with the candidate’s experience and local cost of labor.

$65,000 – $90,000 USD
