In This Role
As a Research Operations Coordinator, you will play a critical role in supporting and enabling user research activities. You’ll provide both reactive and proactive support—ensuring that researchers can quickly resolve immediate needs while also driving scalable improvements to processes, documentation, and training. You’ll serve as the key connection point for research tools and participant panels, managing logistics, optimizing communication, and helping expand recruiting channels. Success in this role requires strong organizational skills, adaptability to new tools and processes, and the ability to communicate effectively with diverse stakeholders. This position offers the opportunity to work at the intersection of UX research, marketing, and operations—making a direct impact on how user feedback informs product design and strategy.
Job Responsibilities

Act as the primary point of contact for all third-party research software suppliers.

Support researcher onboarding and offboarding, including management of tool and software access.

Monitor research account balances and communicate renewal needs and cost-management strategies.

Distribute research opportunities to participant panels in collaboration with researchers, optimizing marketing content for engagement.

Support and grow the participant panel through template creation, community engagement, and outreach activities.

Serve as the subject matter expert in participant recruiting processes, becoming the go-to resource for support and questions.

Generate regular reports on tool usage and participant panel activity.

Identify gaps in process documentation, validate correct information, and update accordingly.

Develop scalable training materials for both researcher and non-researcher audiences on UX research processes.

Identify and pursue additional recruiting sources and targeted user profiles to expand participant panels.

Contribute to long-term enablement initiatives while providing rapid, responsive support to researchers.
Required Qualifications

2–4 years of overall professional experience (or equivalent).

1–3 years of relevant experience in UX research operations, marketing, or project/program management.

Minimum 2+ years of project management experience (task breakdown, scheduling, work tracking—ideally with Azure DevOps or equivalent tools).

Minimum 2+ years of experience with SharePoint authoring (WYSIWYG editing, Communication Sites).

Minimum 2+ years of persuasive writing experience (e.g., email marketing, participant recruitment).

Strong communication skills (verbal and written).

Excellent time management, accountability, and follow-through.

Ability to problem solve independently while managing multiple competing priorities.

Self-motivated with a strong focus on process, documentation, and continuous improvement.

Must be adaptable and able to quickly learn new tools (up to 7 research software platforms during onboarding).

Must be responsive during core working hours.
Preferred Qualifications

Familiarity with UX research methods (participant profiles, customer journeys).

Experience with instructional design or creating eLearning content.

Understanding of data privacy regulations (e.g., GDPR, CCPA).

Exposure to tools such as UserTesting, Respondent, Qualtrics, or similar UX research platforms.

Experience in creating or improving participant engagement strategies.

Knowledge of M365 ecosystem (Teams, Power BI, SharePoint).

Background in customer-facing roles, marketing, or community management.
Salary Range
Pay ranges vary based on multiple factors including, without limitation, skill sets, education, responsibilities, experience, and geographical market. The pay range for this position reflects geographic based ranges for Washington state: $80,000 to $85,000 USD/annually. The salary/wage and job title for this opening will be based on the selected candidate’s qualifications and experience and may be outside this range.
