DEPT® is seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our (regional) executive team and lend a helping hand internationally where needed.
The ideal fit for this position will possess exceptional communication skills, strong attention to detail, and the ability to handle multiple tasks simultaneously. Americas Management Support will play a crucial role in ensuring the smooth operation of our regional organization by managing calendars, coordinating meetings, handling confidential information, and assisting with various administrative tasks. This position requires a high level of professionalism, discretion, and the ability to work both independently and in a team setting when international coordination is required.
This role will report directly to the Americas Chief of Staff to the CEO.
Responsibilities
- Manage 3-5 executive calendars, including scheduling and coordinating meetings, appointments, and travel arrangements
- Act as a liaison between executives and internal/external stakeholders, maintaining effective communication and relationships
- Anticipate and proactively address the needs of executives, ensuring their schedules and priorities are effectively managed
- Support with coordinating and organizing regional events, offsites, and team-building activities
- Complete expense reports, when needed, for the executives supported
- Act as the point of contact for onsite meeting needs, including coordinating details for board meetings and ordering meals for executive meetings
- Provide backup support, when needed, to global management support team
Requirements:
- Strong written and verbal communication in English.
- Proven experience (between 3 and 5 years) as an executive assistant or similar role, preferably in a fast-paced professional services environment
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines
- Strong written and verbal communication skills, with a keen eye for detail
- Ability to handle confidential information with discretion and maintain a high level of professionalism
- Strong problem-solving skills and the ability to think critically and independently
- Exceptional interpersonal skills, with the ability to build and maintain positive relationships with colleagues and external stakeholders
- Proactive and self-motivated, with the ability to work independently and as part of a team
