TALENT ACQUISITION COORDINATOR

Summary 

The Talent Acquisition Coordinator is a vital member of the Talent Acquisition team, ensuring a seamless and high-quality candidate experience by overseeing interview logistics, assisting recruiters, and maintaining data integrity across recruiting systems. This role enhances operational excellence through meticulous scheduling, proactive communication, and process improvements, while supporting hiring initiatives and stakeholder engagement across the company. This is a contract position. 

Essential Duties and Responsibilities include the following. Other duties may be assigned:

  • Coordinate and schedule onsite, virtual, and panel interviews with speed, accuracy, and professionalism.
  • Deliver a seamless, high-touch candidate experience by partnering closely with recruiters, hiring managers, and interviewers.
  • Manage job postings across internal and external platforms using Greenhouse ATS.
  • Assist recruiters by reviewing resumes for alignment with role-specific criteria.
  • Audit requisitions and candidate records to ensure data integrity and compliance with hiring standards.
  • Serve as the first point of contact for candidates, providing timely updates and a consistent, positive experience.
  • Maintain scheduling dashboards and recruiting reports to support team visibility and efficiency.
  • Coordinate candidate travel and logistics when required.
  • Proactively identify and recommend process improvements that enhance candidate, recruiter, and hiring manager experiences.
  • Uphold Greenhouse data hygiene and champion best practices across recruiting workflows.
  • Prepare regular and ad hoc Greenhouse reports.
  • Contribute to projects focused on employer branding, enhancing candidate experience, optimizing processes, and enabling the hiring team.

Education and/or Experience:

  • 2+ years of experience in recruiting coordination, HR operations, or talent acquisition support; experience supporting multiple recruiters or hiring teams is a plus.
  • Proven expertise using Greenhouse or similar ATS platforms to manage interview scheduling, job postings, and candidate workflows.
  • Proficient in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint); able to easily create reports, manage calendars, and support team communications.
  • Skilled in tracking, maintaining, and reporting recruiting data to support operational insights and continuous improvement.
  • Experience coordinating logistics for career fairs, hiring events, and university recruiting activities.
  • Familiarity with initial resume screening and identifying candidates based on role-specific requirements.
  • Exceptionally organized with sharp attention to detail—able to manage multiple priorities without missing a beat.
  • Proactive and resourceful, with a “find a way” mindset and a passion for anticipating team needs.
  • Strong customer service orientation; communicates with empathy, professionalism, and urgency to support candidates and hiring managers.
  • Thrives in fast-paced environments with shifting deadlines and high-volume activity.
  • Excellent written and verbal communication skills, with the ability to collaborate across functions.
  • Tech-savvy and quick to adopt new tools, platforms, and systems.
  • A bachelor’s degree or equivalent combination of education and relevant work experience is preferred.

Physical Demands:

  • Primarily sedentary role with prolonged periods of sitting at a desk and working on a computer.
  • Ability to occasionally lift up to 15 pounds.

Work Environment:

  • Remote work environment with occasional travel required for events or meetings.
