THIS POSITION IS ONLY OPEN TO CANDIDATES WHO ARE PERMAMENT (NOT PROVISIONAL) IN THE CIVIL SERVICE TITLE OF PRINCIPAL ADMINISTRATIVE ASSOCIATE
THE SELECTED CANDIDATE WILL BE OFFERED A SALARY OF $72,000
The Administration for Children’s Services (ACS) protects and promotes the safety and well-being of children and families through child welfare and juvenile justice services and community supports. ACS manages community-based supports and foster care services and provides subsidized childcare vouchers. ACS child protection staff respond to allegations of child maltreatment. In juvenile justice, ACS oversees detention, placement, and programs for youth in the community.
The Division of Family Permanency Services (FPS) ensures that high quality services are provided to children in foster care by supporting provider agency staff with technical assistance and other services for children in foster care. FPS staff offer guidance to provider agencies on child welfare policies and procedures to improve service delivery and achieve safety, permanency, and well-being for children in foster care.
The Office of the Deputy Commissioner is supported by staff who help to manage agency initiatives and provide a wide range of supports to all program areas to ensure that our staff are in compliance with ACS’s guidelines and requirements. Some of these include staffing actions, trainings, planning division-wide events, employee recognition, returning to work schedules, office operations and management, and helping staff to maintain work-life balance.
The Administrative Assistant key functions and responsibilities:
Serve as a liaison with internal administrative staff within the agency, as well as external stakeholders.
Assist with handling OHR staffing actions in HRMS for backfills, employee transactions, PAR submissions, salary adjustments, etc.
Maintain and update Personnel report on staff trainings, notifying managers when trainings are not completed by staff
Maintain and update all division wide Organizational Charts using MS VISIO.
Provide technical assistance to FPS’ leadership to support operational needs, personnel and budget best practices.
Utilize and leverage technology to support key goals and objectives, including but not limited to Microsoft Office suite products; Microsoft Visio; ACS internal and citywide web-based software applications such as NYCAPS, City Time, HRMS
Implement systems for filing and maintenance of records
Assist Director of Operations with special projects and other office related tasks when necessary
Complete other administrative functions as necessary

Qualifications
A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;
Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.
