Position Overview
The Client Data Specialist is responsible for entering and managing client, matter, and timekeeper data within firm software applications. This role acts as a liaison between internal and external clients to ensure high-quality client service, satisfaction, and retention. The Specialist interprets and communicates client objectives internally to ensure client satisfaction by providing excellent service and accurate data.
Essential Functions
- Ensure data integrity in 3E, Case Management, and Intapp Open systems.
- Maintain synchronization and data flow between these systems.
- Communicate with attorneys and clients as needed.
- Prepare and distribute new client/matter reports.
- Coordinate data entry for clients, matters, and user access into 3E.
- Update client and matter information in the database, including billing info, rate tables, name changes, attorney designations, and matter status.
- Assist with client development projects related to financial systems.
- Conduct training and support for the legal support team on the firm’s intake system.
- Review and summarize Outside Counsel Guidelines to ensure client compliance in 3E.
- Coordinate with Accounting, Conflicts, and Information Governance teams to maintain data accuracy and efficiency.
- Escalate issues to firm leadership as needed.
- Participate in special projects and perform other duties as assigned.
Position Requirements
- High School Diploma or GED required; 2-year degree preferred.
- 2-3 years of relevant experience, preferably in a law firm environment.
- Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel).
