We are seeking an energetic Client Service Associate to support our Los Angeles office by handling a wide range of administrative, client service, and operational tasks in a fast-paced environment. This role offers the opportunity to contribute to the smooth operation of the office while providing excellent service to our clients.

1. Act as a primary point of contact for clients, addressing and resolving client inquiries, requests, and issues in a timely and professional manner.
2. Support financial advisors by preparing for client meetings, including gathering necessary documents, reports, and financial information.
3. Assist in client onboarding, including account setup, completing paperwork, and ensuring all client documentation is accurate and compliant.
4. Maintain ongoing client communication, ensuring that all follow-up actions are completed promptly and that clients are regularly updated on the status of their accounts.
5. Document and track key client interactions and milestones in CRM systems to ensure accurate record-keeping and seamless communication.

1. Handle administrative tasks such as scheduling appointments, managing correspondence, and ensuring all client-facing materials are prepared ahead of meetings.
2. Assist with account maintenance tasks, including address changes, beneficiary updates, and processing financial transactions such as distributions, contributions, and transfers.
3. Ensure all client documentation is organized, scanned, and filed in accordance with company compliance standards.
4. Support internal team members in preparing and reviewing client reports, presentations, and financial planning documents.
5. Assist in managing workflows to ensure that client requests are processed efficiently and accurately.

1. Ensure all client-facing processes comply with the firm’s regulatory requirements, including completing necessary compliance documentation and maintaining accurate records.
2. Maintain awareness of regulatory and compliance updates, ensuring all client interactions and documentation align with industry standards and firm policies.

1. 1 year of experience in a client/customer service, ideally in a professional office or financial services setting.
2. Bachelor’s degree.
3. Basic knowledge of financial services, investment products, and financial planning processes is a plus.
4. Exceptional interpersonal and client service skills, with the ability to build strong relationships and maintain a high level of professionalism.
5. Strong attention to detail and organizational skills, with the ability to manage multiple tasks and deadlines.
6. Excellent verbal and written communication skills.
7. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with CRM systems (e.g., Salesforce) is preferred.
8. Ability to work effectively in a team environment while also demonstrating initiative and the ability to work independently.
