Job Title: Executive Assistant to COO/CFO (Entry–Mid Level)

Executive Assistant to support our COO/CFO. This position plays a critical role in keeping leadership organized, informed, and operating at maximum efficiency.
Position Overview
The Executive Assistant will act as the right hand to the COO/CFO, supporting both administrative and operational needs. This includes schedule management, travel coordination, project tracking, vendor communication, and occasional personal tasks. The ideal candidate is flexible, discreet, proactive, and thrives in a dynamic, fast-paced environment.
Key Responsibilities
Administrative Support
- Manage calendars, prioritize scheduling, and coordinate meetings
- Book and manage domestic/international travel including flights, hotels, and itineraries
- Screen and manage calls, emails, and communications on behalf of the executive
- Draft and format memos, reports, meeting notes, and presentations
- Maintain organized digital and physical files, documents, and task lists
- Aid executive in preparing for meetings
- Responding to emails and document requests on behalf of executives
- Draft slides, meeting notes and documents for executives
Operational & Project Support
- Coordinate internal team meetings, off-sites, or events
- Track progress on special projects and ensure deadlines are met
- Liaise with internal departments and external vendors
- Conduct research and prepare summaries, briefings, or reports for executive review
- Support department budget tracking and expense management
High-Level Confidential Tasks
- Draft or review sensitive internal and external communications
- Serve as a gatekeeper for executive time and access
- Handle occasional personal errands or tasks for the executive as needed
Qualifications
Required:
- 1–3 years of executive assistant or administrative experience
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication skills
- Proficiency in Google Workspace (Docs, Sheets, Calendar, Gmail)
- Ability to maintain confidentiality and handle sensitive information
- Valid driver’s license and reliable transportation
- Based in Los Angeles
- Flexible availability and comfort working across in-person and hybrid environments
- Bachelor's degree or equivalent experience
- Proficient in Microsoft Office suite
- Experience in managing multiple priorities, administrative coordination, and logistics
- Well-organized, detail-oriented, ability to multi-task with great follow-up skills
- Strong written and verbal communication skills
Preferred:
- Experience in fashion, entertainment, or startup environments
- Familiarity with tools like Slack, Shopify, Trello, Notion, or expense tracking platforms
- Prior experience supporting C-suite or senior leadership
- Interest in streetwear, anime, or creative industries is a plus
