Description We are looking for a highly organized and detail-oriented Executive Assistant to provide dedicated support to the President of a division within an established insurance company. This Contract-to-Permanent position is based in Atlanta, Georgia, and requires a meticulous individual who can effectively manage schedules, communications, and administrative tasks in a fast-paced environment.
Responsibilities:
Manage the President's calendar, including coordinating meetings, appointments, and conference calls.
Organize and maintain records, files, and other important documents to ensure easy access and accuracy.
Oversee travel arrangements, including booking flights, accommodations, and preparing itineraries.
Prepare, edit, and review correspondence, reports, and presentations with a high level of accuracy.
Facilitate the scheduling and execution of Webex meetings and other virtual conferences.
Utilize systems such as ADP, Kronos Timekeeping, and Concur for timekeeping and expense reporting.
Provide support in managing CRM systems to track and organize client and business data.
Communicate effectively with internal and external stakeholders, ensuring timely responses and follow-ups.
Assist in coordinating team events, meetings, and other organizational activities.
Handle sensitive and confidential information with discretion and care. Requirements - Proven experience as an Executive Assistant or in a similar administrative role.
Proficiency in tools such as Cisco Webex Meetings, CRM systems, and Concur.
Familiarity with timekeeping systems like Kronos and ADP.
Strong organizational skills with the ability to prioritize and manage multiple tasks.
Excellent written and verbal communication skills.
High level of proficiency in calendar management and scheduling.
Attention to detail and accuracy in handling documentation and correspondence.
