Description
We are looking for an experienced Executive Assistant to join our team in Tampa, Florida. In this role, you will play a key part in supporting our executive leadership while managing office operations and ensuring seamless administrative processes. The ideal candidate is tech-savvy, detail-oriented, and capable of fostering a positive and collaborative team environment.
Responsibilities:
Provide comprehensive support to three executives, including managing schedules, coordinating travel, and maintaining communication.
Serve as the primary support for the Chief Operations Officer, handling logistics for frequent travel and ensuring smooth operations.
Coordinate virtual meetings, manage calendars, and prepare materials for presentations.
Oversee office management duties, including supply procurement, facility maintenance, and fostering a productive work environment.
Assist with client relations by sending thank-you cards, maintaining touchpoints, and ensuring a welcoming atmosphere.
Facilitate team collaboration by identifying opportunities to streamline processes and enhance office efficiency.
Execute hospitality-related tasks to support incoming and outgoing client visits.
Ensure all administrative tasks are completed accurately and on time.
Uphold confidentiality and professionalism when handling sensitive information.
This is a permanent position that will pay up to $90,000 depending upon experience. Please apply to Jane Gearhart if interested!
Requirements
Minimum of 5 years of experience as an Executive Assistant or in a similar role.
Proficiency in Microsoft Office Suite, including Excel, Word, and PowerPoint.
Experience with travel coordination and calendar management.
Strong organizational skills and attention to detail.
Self-starter with the ability to anticipate needs and take initiative.
Excellent interpersonal and communication skills.
Familiarity with expense management software such as Concur is preferred
