Sparks Group is recruiting for an Executive Administrative Assistant to the Chief Communications Officer (CCO) of a Federal Credit Union located in the heart of downtown Washington, DC. Responsibilities:
Board Member Support:
- Plan, organize, and complete tasks for Board Meetings, committees, and other functions.
- Maintain and distribute Board/Committee member contact lists and administer the secure information sharing portal.
- Administer the annual Board of Directors election process.
- Serve as the Secretary of the Annual Meeting, ensuring accurate records and timely reporting.
- Support Board Members with orientation, travel, training, development, and technical support.
- Monitor the Executive Offices email inbox and coordinate timely responses to member inquiries.
- Attend various committee and board meetings, coordinate technology, and draft meeting minutes.
- Work beyond normal business hours as needed.
- Communicate effectively at all levels of the organization.
- Handle complex activities and confidential information with professionalism and independent judgment.
- Plan and coordinate multiple projects simultaneously with a high degree of accuracy.
Administrative Support:
- Provide administrative and clerical support, including word processing, spreadsheets, and maintaining executive files.
- Perform research and analysis to develop, proof, and review communications, processes, and procedures.
- Draft and develop deliverables such as internal emails, presentations, and charts.
- Serve as the SharePoint administrator and support the leadership team with maintaining iStaff.
- Oversee the workflow of the executive team, filter and coordinate requests, monitor project status, and follow up as needed.
- Prioritize tasks and meet deadlines.
- Continually learn and grow in the role to maximize contribution to the organization.
Additional Duties:
- Provide backup administrative support to the Executive Assistant of the CEO.
- Communicate positively with members, vendors, co-workers, and management.
- Maintain technical and professional knowledge by attending workshops, reviewing publications, and establishing networks.
- Keep up to date on products, services, policies, procedures, and priorities.
Organizational Responsibilities:
- Participate in annual Information Security refresher training and comply with the Information Security Policy.
- Participate in annual Bank Secrecy Act (BSA) and Office of Foreign Assets Control (OFAC) training, demonstrating knowledge and understanding of BSA and OFAC.
- Ensure safe harbor protections as allowed by the BSA and maintain confidentiality of Suspicious Activity Reports (SAR).
- Demonstrate commitment to the Service PACT philosophy.
- Undertake other work-related duties as assigned by the executive leadership team.
Qualifications/Background Profile:
Education:
- B.S. degree or equivalent combination of education and experience required.
Experience:
- Two years of experience directly supporting senior level executives (C-Suite preferred).
- Four years of administrative experience required.
- Experience with Banking Systems and/or Loan Origination Systems highly preferred.
- Intermediate knowledge of Microsoft Office products with an emphasis on Advanced Excel.
- Experience with SharePoint preferred.
- Thorough knowledge of the Credit Union Industry preferred.
