Description
We are looking for a dedicated Project Assistant to join our team in Danville, California. In this contract-to-Permanent role, you will play a vital part in ensuring the smooth operation and maintenance of commercial properties, while collaborating with tenants, vendors, and corporate teams. The ideal candidate will have strong organizational skills and a proactive approach to managing facilities and vendor relationships.
Project Assistant Responsibilities:
Conduct regular inspections of properties to assess maintenance needs, safety conditions, and overall appearance.
Perform minor repairs and report larger issues to the appropriate team.
Coordinate vendor access for scheduled services and ensure compliance with contract standards.
Monitor vendor work on-site and address any service concerns with management.
Schedule recurring services and confirm their completion.
Verify the completion of vendor tasks before processing invoices and report discrepancies.
Assist tenants with vacancy inspections and coordinate access as needed.
Identify and report safety hazards or urgent repair needs promptly.
Maintain communication with corporate teams regarding site conditions and service requirements.
Support occasional after-hours emergencies as required.

Requirements - Minimum of 3 years of experience in facilities, maintenance, or property operations.
Familiarity with building systems, vendor coordination, and inspection processes.
Ability to access roofs and traverse large properties for inspections.
Reliable transportation and a valid driver's license, with mileage reimbursement provided.
Proficiency in Microsoft Excel and Word for data entry and reporting.
Strong organizational skills and attention to detail for managing timelines and vendor agreements.
Excellent communication and follow-up abilities to ensure smooth operations.
