What you'll doAre you a customer service minded individual who feels a sense of accomplishment when you can solve a problem which has a successful result? In this integral role on AlixPartners' Corporate Services team, you will directly support multiple consulting professionals. Responsibilities include coordinating deadlines, analyzing, and handling sensitive information, and playing a critical role in handling confidential information requests. Support will include making meeting arrangements, managing business and personal calendars, domestic and international travel booking, expenses, time entries, and case documents. Light travel is anticipated.
The Administrative Senior Professional role is a full-time position located in New York, NY. The role reports to the Administrative Team Lead. Paid relocation is not available for this position.
- Manage complex calendaring, prepare business travel itineraries, and process expense and time reports.
- Anticipate needs, prioritize responsibilities, handle calendar conflicts, and manage schedule changes. Track communication and stay on point with key discussions.
- Be aware of ongoing projects/proposals and respective teams to help schedule meetings and steering committees.
- Create, edit, and respond to correspondences, process invoices, draft engagement letters, and create presentation materials.
- Plan and execute client events, provide technical and logistical support, track RSVPs, and offer on-site administrative support. Some travel is expected for event implementation.
- Attend team and industry segment calls and annual team meetings. Take notes, follow up on tasks and due dates, and collaborate on industry initiatives, client retention, and pitch materials.
- Proactively manage client outreach for top contacts, identify meeting opportunities, and co-create the client relationship model. Map outreach back to CRM, track key actions, and execute follow-ups.
- Manage and update stakeholders' contact lists in the CRM.
- Follow up on leads and build strong relationships with the EAs of key clients.
- Handle sensitive and urgent information from clients, exercise judgment in unique situations, and manage outstanding requests.
- Coordinate effectively with both internal and external constituents and balance multiple priorities by considering risk, importance, urgency, and political impacts. Resolve potential problems quickly.
