Perform accounting clerical procedures and budgets for the department. Process entertainment expense forms, purchasing, TQS and invoicing. Enter and maintain accurate data in budget books and perform reconciliations. Maintain ProCard log and create monthly statement report. Coordinate travel requests and reimbursements and vendor payments.In collaboration with Director and the communications team in the Office of the Dean of Students, collect, organize, edit and write content for the monthly Texas Parents Member e-newsletter, invitations, brochures and other promotional pieces. Oversee implementation of any campus electronic messaging. Optimize customer relationship marketing and event registration systems. Perform post-campaign and/or event communication analysis to identify trends, best practices and feasibility for future projects. Create reports as needed regarding platform usage, engagement, etc. Perform design work and/or work with graphics designer for needed communication pieces.Perform office management, coordinating workflow and ensuring streamlined office procedures and fluid day-to-day operations. Responsible for phone systems, office equipment, supply orders, maintenance requests, etc. Perform other general clerical responsibilities as necessary. Maintain and further Texas Parents branding in alignment with the Office of the Dean of Students through communication tools and platforms in concert with the communications team. Maintain, order and inventory stock for member benefits. Oversee the records retention process for the office.Supervise and provide leadership to the student office and Membership Recruitment Student Leader (MRSL) staffs. Create job descriptions, recruit, interview, hire, train, schedule, evaluate and mentor students. Oversee procedures delegated to student staff. Verify and approve time sheets and track wage expenditures. Provide on-site supervision at all Family Orientation sessions for MRSL staff. Oversee HR appointments, including Family Orientation Student Leader teams.Coordinate and execute the brick paver gift cycle: process gifts and donations, communicate gift acknowledgements to donors, obtain and confirm engraving instructions from donors, secure brick order and ensure vendor accuracy with all engraving instructions. Coordinate installment of bricks with Facilities, map out brick layout, complete reconciliations according to institutional policies and procedures, and coordinate stewardship correspondence with donors. 1Serve as a contributing staff member in a team-centric and collaborative environment, functioning capably in a dynamic, fast-paced office. Coordinate and execute collaborative efforts with Texas Exes Alumni Association for annual Mooov-in Mixer. Substitute for other staff as necessary. Keep abreast of current events as they pertain to students and their families. Perform other duties as assigned.
